What data we collect

We collect personal data when you interact with the site directly, including:

  • Contact form: name, surname, email address, and the content of your message
  • Newsletter signup: first name, last name, email address
  • Brochure download: first name, last name, email address
  • Speaker sheet download: first name, last name, email address
  • Booking a call: when you book via our Calendly link, Calendly collects your name, email, and any details you provide during booking, under its own privacy policy

We also automatically collect some technical data when you browse the site, such as IP address, browser type, and pages visited, through cookies and similar technologies.

Why we use your data and our legal basis

  • Responding to enquiries (contact form) — legitimate interest in answering your questions, and to take steps towards a contract if you’re enquiring about coaching
  • Sending newsletters and marketing content — consent, which you give when you sign up. You can withdraw this at any time
  • Sending brochures or speaker sheets you’ve requested — consent / legitimate interest in fulfilling your request
  • Booking and running coaching calls — performance of a contract, or steps taken at your request prior to entering one
  • Site analytics and cookies — consent (where required) or legitimate interest in understanding site performance

Who we share your data with

We don’t sell your data. We share it with third-party service providers who help us run the business, including our call scheduling provider (Calendly), our email marketing provider, and our website hosting provider.

These providers process data on our behalf and are contractually required to keep it secure. Some may be based outside the UK; where that’s the case, we rely on appropriate safeguards such as Standard Contractual Clauses.

How long we keep your data

  • Contact form enquiries: kept for up to 24 months unless a coaching relationship begins, in which case standard client record-keeping periods apply
  • Newsletter subscribers: kept until you unsubscribe
  • Downloads (brochure/speaker sheet): kept until you unsubscribe from related communications

Your rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Ask us to correct inaccurate data
  • Ask us to delete your data
  • Object to or restrict certain processing
  • Withdraw consent at any time (for marketing, this is a link in every email)
  • Data portability, where applicable
  • Complain to the Information Commissioner’s Office (ICO) at ico.org.uk if you think we’ve mishandled your data

To exercise any of these rights, contact us at amy@amy-williams.co.uk.
